Reporting to the Head of workplace Services, the Space planner will become a member of a high performing project team that identifies and leads complex, space allocation for agency in specific space available. The space planner is responsible to the management of an project assigned physical space inventory. This involves the tracking of how much space an organization has, managing occupancy information, and creating spatial plans in according to the needs or agency and corp.

  • Analyze space requirements, conduct test-fit analysis and provide recommendations to real estate and programme team(s) and/or stakeholders; prepare block or stack plan(s); charter(s) and move lists.
  • Produce drawings and presentations for internal stakeholder(s) and client facing steering committee meetings (Programme Director, Programme Manager, Change Manager, Stream Leads, etc.) for review and feedback; involves project management staff as appropriate for move and construction services.
  • Work directly with Agencies to determine space / operational requirements to implement ‘space-to-floor’ matching for new building.
  • Collaborates with other team members to gain business intelligence. Responsible for occupancy data within the system of record. be required to manage space walks for validation and update of occupancy metrics.
  • Partners with other departments on move and relocation sequencing and execution. Liaise with Change Management team as required.
  • Makes recommendations to Programme Team on necessary space planning code changes and/or requirements and move updates.
  • Attends agency an stake holders meetings to collect requirements, present findings and recommendation. Obtains approvals to proceed when required.
  • Acts as a single point of contact for relevant systems/processes in subject teams and day-to-day functions.
  • Organize transition and office move requirements and/or matters when required.
  • Monitoring and tracking of Agency Instruction (AI) executions by respective Agency Leaders that arise during planning, pre-construction and construction stage.
  • Coordination on the tracking, monitoring and rectification of defects during the DLP period.

    WorkPLAYce Transformation

  • Engage with vendors, PMs, contractors and IT teams to shape and facilitate values-aligned employee experience for workplace technology
  • Ensure all details of the new spaces are met with the right level of detail in alignment to the fit-out policy and design concept.
  • Ensure all detail of new space with attention for the lifespan of the space
  • Source, negotiate with and select vendors to assist with the delivery of awesome staff experiences, including but not limited to, merchandise vendors, Concierge services, Gym memberships, transportation partnerships, and more.
  • Facilitate and connect into new & emerging workplace technologies that drive culture & workplace for people.
  • Assess and review any proposed installation or office interior change which might impact on WorkPLAYce design and concept.
  • Assess and review of Corp fit out and interior change in alignment with PCA fit out policy.
  • Ensure all activities carry out within WorkPLAYce are in alignment to the initial Transformation objective.
Who are we looking for:
  • Bachelor’s or diplomat in architecture, urban design, urban planning, environmental studies, building construction technology or a closely related field.
  • Minimum Five years’ experience in space planning and design management of buildings.
  • Demonstrated knowledge, skill and ability to manage computer-based facilities and space management systems, including use of CAD.
  • Thorough knowledge of the principles, practices and methods of Space Management.
  • Strong organizational and time management skills including the ability to meet deadlines and work under pressure.
  • Excellent interpersonal and communication skills including the ability to work effectively with vendors, staff and users at all levels.
  • Wide ranging skills in such areas as planning, leadership, decision-making and administration.
  • Ability to provide study reports, technical documentation, papers and/or project plans for technical staff members.
  • Ability to work independently, with limited supervision
  • Ability to think strategically and tactically to ensure recommendations are appropriate and realistic
  • Proficient in Microsoft Excel, PowerPoint and Word
  • Effective written and verbal communication skills
