Job Descriptions

Administrative Tasks

  • Responsible for all facility management matters such as fixed inventories, office renovation, printer, installation

and relocation, etc

  • Oversee the day-to-day activities of the office as the main point of contact in the reception area.
  • Provide general office administrative support, including but not limited to involvement in setting up meeting

rooms, replenishing stock for stationery, pantry refreshment and arranging for couriers

  • Coordinate with internal and external resources, and cultivate relationships with vendors
  • Oversee office interactions, responding to requests and questions
  • Supervise the timesheets filing for all SG staff
  • Responsible of board members trips, claims and Board organization
  • Provide quotes and supervise Annual report printing and distribution
  • Maintain office efficiency by maintaining appearance of common areas, oganize and distribute incoming mail and

packages, managing filing systems, and overseeing office supplies and office equipment

  • Liaise with Corporate secretary for any ACRA filling matters such as change of registered office address, change of

Directors/Shareholders’ particular, Director’s Resolution, etc

  • Responsible for annual renewals and administrative of insurance policies
  • Providing secretarial support to the CEO and other ad-hoc duties

HR Tasks

  • Assist with recruitment process such as advertising job vacancy & arranging for interviews
  • Handle work pass (WP/SP/EP) application, renewal and termination of the pass
  • Oversee staff benefits & welfares
  • Prepare SGD & USD payroll, submit CPF contribution
  • Oversee leave management, submit childcare’s leaves and NS Make up pay claims
  • Responsible for the onboarding of new hires and provide new hires with IT equipment

Accounts & Finance

  • To check, verify & approve PO in Approval Max
  • Prepare travel expenses’ claims for all staff
  • To raise contract approval in Approval Max
  • Prepare payments in the banks

Skills & Experience

  • 5years & above in office management experience
  • Diploma / Degree in Business / Finance or other related discipline
  • Strong time-management and people skills, flexibility, and multitasking ability
  • Advanced computer skills and experience with online platforms
  • Proficiency Microsoft Office, with aptitude to learn new software and systems
