Job Detail

Job Responsibilities

Lease Documentation

  • Provide lease administration support to leasing team
  • Prepare lease documents and monitor status of documents to ensure timely execution
  • Liaise with solicitors and tenants on the lease documents
  • Liaise with tenants on submission of tenancy information
  • Update and maintain tenancy information and reports
  • Provide filing support and assist in other administrative duties assigned

Reporting

  • Update and upkeep periodic reports i.e. Master Tenancy Listing & Published Sales Reports
  • Assist to prepare and ensure accurate and timely reporting on a monthly and periodic basis
  • Assist in Budget & Forecasting report for the Leasing team
  • Ensure accurate and detailed analysis of rental, gross sales turnover and occupancy cost to prepare review/report on Tenants’ performance
  • Assist to prepare any adhoc reports required by Management
  • Develop and maintain a productive working relationship with the system’s vendor
  • Manage and work with the system’s vendor to ensure optimal automation of relevant reports
  • Liaise with the system’s vendor on related issues and ensure all functions are in order
  • Conduct periodic training on the system for new hires
  • Coordinate and provide information to auditors and compliance bodies.
  • Assist with the IRAS and URA Quarterly Occupancy Survey submission

Job Requirements

  • Diploma/Degree in Real Estate, Business Administration, Accountancy, Finance or its equivalent
  • Minimum 4 years’ relevant experience preferably in administration and reporting for retail and commercial properties
  • Possess excellent numerical, analytical and Excel skills
  • Proficient in MS Office
  • Ability to multi-task, meticulous, independent, self-motivated and work within timeline
  • Positive disposition, resourceful and a team player
  • Excellent interpersonal, persuasive presentation and negotiation skills
