Today, we are looking to hire 1 Administrative Assistant / Officer to be based in Singapore. Your responsibility is to help us perform and coordinate administrative tasks in our office, including work scheduling, allocation of work assignment, processing registrations, sending out invoices, and assist in some HR tasks. You need to have proven at least 3 years of experience in administrative work, ability to multi task and have a good set of Excel skills.

Job Responsibilities

  • Manage, plan and coordinate work scheduling for research team
  • Allocate daily work assignment for the data administrative team
  • Communicate work allocation and brief new process to the research team
  • Perform regular checking, data entry and maintenance on certain company’s applications/systems by following given process
  • Perform all administrative tasks given and create all required reports for Management on a timely basis
  • Process registration and send out admission letters for delegates
  • Generate, send out and follow up with invoices with telephone/email
  • Filling out the vendor form or other forms when required by clients
  • Raise payments for company expenses and help to track and manage company accounts
  • Assist to maintain and replenish office and pantry supplies on regular basis
  • Provide administrative support to the Management, the Team and the Office
  • Assist in performing HR tasks, such as screening candidates, scheduling interviews, and HR admin duties
  • Opportunity to take on special projects on ad-hoc basis, e.g. enhancing registration system, planning for company retreat

  • University degree required
  • Possess strong Excel skills
  • Minimum of 3 years of administrative assistant experience
  • Good coordination, time management and organization skills
  • Ability to multitask
